Payment Module

The Payment module allows healthcare providers to accept credit card and check payments as well as deposit checks from WEBeDoctor.

The Combination Card Reader, check scanner, and receipt printer is small and compact and plugs into any USB port on your desktop or laptop computer.

Payment screens are automatically populated  with the patient’s name and amount due. Payments are then automatically posted to the patient’s account.

There are no worries about keeping credit card or checking information on your computer. Payment information is stored offsite on secure servers so future payments can be processed for account balances. The account information is stored in the “vault” and linked through patient ID. Additional payments are simply processed through the “vault” by entering the amount due and the patient ID. Patients give permission to charge credit cards or checking accounts for future amounts due.

Payment Module is efficient, speedy, and accurate.
Initiation of payments and posting results are fast and efficient. Payment information is synchronous with patient accounting.  When the card is swiped or check information is scanned the payment screen automatically populates the payer’s information. There is NO awkward, outdated free standing credit card or check terminals to struggle with.  Your office is able to capture funds that may have been lost using other processes. Patient balances can be instantly charged by using the “Payment Vault”, which holds future patient payment information when needed.

Security
The Payment Module far exceeds current security guideline and security requirements. Currently, new regulations referred to as PCIDSS (Payment Card Industry Data Security Standards) place immense liabilities and financial burden on businesses if cardholder data is acquired or stolen by another party. Once registered, your system is automatically scanned for security vulnerabilities weekly. A report is generated on your deficiencies and corrective actions to keep your practice and patient data secure.

Affordable
The payment module is affordable for any size practice. The payment rate and fee structures are competitive and may be less than you are currently paying. The Payment Module enhances your office productivity by saving time and assisting productivity.  Merchant and check acceptance accounts are provided with the Payment Module. There is no need to apply or manage separate external merchant accounts. The check conversion and remote deposit components of the Payment Module allow for you to reduce banking fees and reduce returned checks. Check verification services are available and can provide substantial savings by preventing loss of payments as well as return check fees.

Check Acceptance Services
Checks can be instantly converted into an electronic debit from the payer’s bank account by simply feeding it through the Combination Reader. The Combination Reader automatically scans the check indicating it has been converted electronically and can be handed back to the payer. An image of the check is stored in the system and can be retrieved for future reference. Check conversion has become very popular. Many large stores used check conversion. Check conversion allows available balances to become available in the business checking account the next day. There are no checks to lose or be copied giving an increased element of security for your patients. Checks are instantly verified and help insure you are receiving a good check. Notification of returned checks are as early as the next day, assisting in recovering your funds.

Remote Check Deposit
Checks received by mail do not require bank deposits with the Payment Module. Retaining paper copies of checks create security issues and could expose your patients to fraud. The checks are simply feed into the Combination Reader and a list of checks appear on your computer screen. Then the deposit can be made electronically to the Federal Reserve and funds are credited to your account that evening. There are no trips to the bank saving personnel time and gas. Deposits are secure and a copy of each check is stored on the system for two years.

Telephone Payments
Check or credit card payments can be done over the phone and applied directly in the patient’s account. Payments received over the phone automatically generate an email receipt and sent directly to the payer. Customizable fields can be made and allow your practice to identify specifically the nature of each payment. Telephone payments are great for any practice including billing, collections, and third party billers.

Multiple Accounts
The Payment Module allows an unlimited number of users and individual merchant accounts associated with corresponding bank accounts. The system is ideal for multi-doctor practices operating together. Resources can be shared allowing many departments access to the system simultaneously. Payments can be posted to any number of individual accounts or business units. Sensitive account numbers are truncated so account information is not compromised.
